Owner Access Portals
April 25, 2018

Coventry Group is now offering Owner Access portals (see the new link in the sidebar) to allow you to access your association account details. From the portal, you can view your current account balance, check your payment history, pay your assessments online, view pending violations or open work orders, communicate with your association manager and more.

If we have your email address on file, an email was sent to you with your confirmation code. If you need a confirmation code, please email our office manager. Include your name, community name, property address within the community and your email address. We need ALL of this information to verify each homeowner. Spring/Summer Reminders – 2017

As Spring and Summer 2017 roll in, it is time to take a look at the condition of our Community.

During a recent neighborhood walk through inspection a few items were obvious that need some attention in order to maintain our Community’s pleasant appearance as well as increase our property values.

Coventry Group has been tasked with periodic inspections at which point Violation letters will be sent out. This is just a friendly reminder.

The main items to focus on are:

* Trash cans need to be out of view except for days of pick-up

* Lawns need to be mowed and front yards to be kept uncluttered and well maintained, including shrubs and bushes

* If you are planning major work including decks and/or fences or painting, please be sure to complete and submit the ARC form found under Documets/Archtectural Change Request Form

* No boats, trailers or recreational vehicles are to be parked or stored on any lot.

* Please clean up after your pets. Leash laws are enforced. Please call Frederick County Animal Control 540 662 6162 for dogs that are not on a leash or outside their respective lot.

Quarterly Assessment and Special Assessment

Lakeview Townhouse Homeowner,

As you are aware, on Saturday, June 18th, 2016, the HOA had a special meeting for the purpose of discussing a needed raise in the HOA’s assessments for the 2016-2017 fiscal year. They also discussed a special assessment to be levied equally among the owners for badly needed repairs to the parking areas in the HOA. After achieving the proper quorum numbers, the members at the meeting unanimously voted to raise the dues from $100.00 a quarter to $135.00 a quarter to meet the budget for the new fiscal year.

A special Assessment was also voted in by your board of directors and members based on an accepted bid for pavement repair, sealing, and striping of the lots that was at the cost of $12,856.00. This translates to a special assessment payment of $257.12 per unit. This will be billed out and due in 90 days from receipt of the invoice. Please note that this payment will be for the work to be done on the asphalt repair and not for any other HOA expenses.

As per the Property Owners Association Act of Virginia, 55-514 Authority to levy special assessments, “…the Board of directors shall have the power to levy a special assessment against its members if the purpose in so doing is found by the board to be in the best interest of the association and the proceeds of the assessment are used primarily for the maintenance and upkeep of the common area and such other areas of association responsibility expressly provided for in the declaration, including capital expenditures.”

The board of directors is concerned with maintaining the highest possible property values for it’s members and to this end is tasked with maintaining the common areas. Invoices will be sent out for the special assessment and work will commence as soon as possible.

Please note your quarterly assessments are as follow:

1st Quarter Sent 01/01 and Due 02/01

2nd Quarter Sent 04/01 and Due 05/01

3rd Quarter Sent 07/01 and Due 07/31

4th Quarter Sent 10/01 and Due 11/01

Trash Pickup
June 28, 2016

This is a reminder that trash pickup is on Monday and Thursday.

Trash must be kept in closed containers and be stored out of site until pickup. Trash containers cannot be placed on any common area or on your front porch for storage. Trash is allowed to be put out for pickup the night before.

June 18th, 2016 Special Meeting for Raise in Dues and Special Assessment
May 15, 2016

The Lakeview Townhouse Inc, HOA Board is calling for a Special Meeting to vote on a raise in the yearly assessment and a special assessment for the repair of the parking areas to include sealing and striping of these areas.  This meeting will be held at the Coventry Group office at 21 S. Kent St. in downtown Winchester, VA. The meeting will be on Saturday, June 18th starting at 9:00am and will open, close and open again as needed till the appropriate quorum numbers are met to meet the voting requirements found in your HOA bylaws.

Assessments in the HOA have not been raised in many years and the increasing costs of the HOA expenses is at a critical point.  Please come out and support this process as we educate the general membership on the needs of the community and the responsibility to maintain the common areas.

We will post the budget for the 2016/2017 fiscal year here shortly ahead of this meeting so that you may review this and ask any questions at the meeting.  Formal announcements are being sent out to all the members and if you cannot attend the meeting, please fill out your proxy form and return this to Coventry Group prior to the meeting so that the business of the HOA can take place.

Coventry Group is excited to begin working with your Association.  Invoices will be sent out on time with due dates of January 1st, April 1st, July 1st,  and October 1st.
